Job description
We are looking for an organized, dedicated and ambitious Event Planner to join our event planning Company based in Puerto Rico and servicing the Caribbean.

What would we expect from you? A problem solving attitude wherever you see something that can be better, timeliness in the completion of your assigned tasks, and an optimistic approach to situations, along with an overall positive attitude. Also, confidentiality is of utmost importance, since you will be handling our clients’ proprietary and time-sensitive information.
Responsibilities & Duties:

Building long-term relationships with key clients
-
Negotiating with clients, solving any challenge and making sure deadlines are met
-
Prepares and creates proposals to client for approval, making sure all components are in line with the event production strategy and timeline
-
Creates estimates, quotes, invoices and other documents to register and monitor cost and expenses related to the clients event
-
Develop great communication with the internal team when managing events and coordinating tasks related to ongoing projects.

Brief colleagues to work hand in hand with the best ideas and solutions for the client
-
Manages communication and negotiation with suppliers and vendors, and supervise services invoiced to ensure accuracy regarding company terms, conditions and accounting procedures

Contribute to an increase in sales and maintain our company-client relationships at a high standard

Maintain a weekly status report by event to share on weekly Daily Huddles and ensure managers as well as the team are up-to-date with any changes or pending tasks

Keeping in contact with the client at all stages of the project

Organize regular client meeting to discuss their requirements

Problem solving and handling complaints in a timely manner

Making “pitches” to win new business

Identify new potential customers

Become familiar with a variety of the field's concepts, practices and procedures as well as with all the company’s systems
Qualifications:

Understanding of sales principles and ability to deliver excellent customer experience

Proven work experience as a Junior Account Manager or relevant sales role

Strong (verbal and written)communications skills with an ability to build relationships

Effective presentations and negotiation skills
-
High degree of professionalism

Good time-management skills with a problem solving attitude

Teamwork and leadership skills

Customer oriented mindset

Hours: Event Planning is a high-pressure work environment, usually accompanied by long hours, including, occasionally, nights, holidays and or weekends as needed.
This job is an office-based position with an air conditioned environment. Occasional remote work may be necessary. Travel for meetings and social events is expected. Must be able to sit or work at event sites for long hours, speak frequently and lift up to 20-30 pounds occasionally.
